Standard Cargo & Delivery Policy

1. Delivery Terms & Transfer of Risk

  • Delivery Basis: All local deliveries are fulfilled via Ex-Warehouse (EXW) or Delivered At Place (DAP) depending on the specific customer contract agreements.
  • Risk Transfer: For EXW shipments, risk transfers to the buyer the moment goods are handed over to the buyer’s designated transporter at our loading bay.
  • Site Access: For DAP shipments, the customer must ensure safe, clear offloading access for commercial trucks up to 10-tonne capacities at their delivery site.

2. Clearance & Documentation Requirements

All cargo dispatches require a complete set of validated paperwork prior to exiting the warehouse gates:

  • Tax Compliance: A valid Electronic Tax Invoice Management System (eTIMS) compliant invoice matching the customer’s KRA PIN.
  • Gate Pass: A digitally signed warehouse release order and delivery note.
  • Identity Verification: The designated driver must present a valid national ID and a corresponding transport authorization letter from the customer.

3. Inspection, Shortages, and Damages

  • Immediate Verification: Customers or their agents must visually inspect all cargo at the point of collection or physical delivery before signing the Delivery Note.
  • Damage Reports: Any visible damage, unit shortages, or packaging discrepancies must be noted in writing directly on the Delivery Note.
  • Claim Window: Formal claims for hidden or latent damages must be filed within 48 hours of delivery via email, accompanied by photographic evidence.

4. Transit Insurance & Claims

  • EXW Shipments: The buyer is entirely responsible for securing local Marine Cargo Insurance or transit insurance coverage through a licensed Kenyan underwriter.
  • DAP Shipments: KUTRE covers transit risks up to the designated drop-off point, provided any transit damage is reported immediately upon offloading.
